Why people get stuck here

These misconceptions aren't rare scenarios — most people hit at least one of them at this step. Knowing in advance doesn't mean you won't stumble, but it can save you a few weeks of detours.

  • Treating the first-year budget as tuition plus one month of living costs times twelve, dropping the first-month one-time ledger (housing setup often runs 4-7 months of rent plus furniture and appliances).

  • Assuming funds proof only needs a sufficient amount, ignoring how the funds formed — a sudden large transfer is hardest to explain and should be in place early, not topped up just before submission.

  • Assuming 'fix whatever is missing after arriving in Japan'—a Japanese mission cannot issue originals on behalf of your former school, local authority, bank, or authentication body, and replacing them after departure is often costly.

How to break this task down

Follow the checklist below and you won't miss anything important. You don't have to finish it all at once, but every item should be clearly answered within this stage.

  1. Split first-year costs into three ledgers — before-arrival, first-month one-time, and stable monthly — instead of estimating 'one month of living costs times twelve'.
  2. Ask the target school whether each academic document needs the original, a translation, the issuing country's degree verification, or notarization/authentication before choosing a line.
  3. Put documents that only the original school or local authority can issue—such as graduation/transcript proof, relationship or criminal-record documents, and bank certificates—first.
  4. Prepare proof of funds as coverage + continuity + explainability: balance plus income proof plus a record of how the funds formed, with funds in place early.
  5. Put COE, visa, tickets, housing, and packing into one timeline, watching the 3-month COE validity.
