Extra procedures for students from mainland China

The site's main journey is for all international students. This page covers only the additional checks specific to mainland China and routes each decision—jurisdiction, verification reports, document authentication and exam registration—to the responsible authority. It does not freeze agent lists, dates or recipient requirements.

Confirm with the recipient before ordering documents. Jurisdiction, designated agents, exam registration and school document rules can change. Before paying or submitting, check both the authority's latest notice and the requirements of the actual recipient, such as a school or employer. This page does not decide visas, authentication or admission.

SECTION 01

Visa jurisdiction and designated application agents

Japan's missions in China divide responsibility by household registration or residence. Visa applications are generally filed through an agent designated by the responsible mission. Whether direct filing is accepted, what proves residence and which agents are current must be checked with that mission.

Check jurisdiction and filing method first

Do not choose a mission by distance, and do not assume a private education agency is a designated visa agent. First identify the responsible Japanese mission; then check its current filing method and agent list.

Applications generally go through designated agents
The Embassy of Japan in China says visa applications generally go through designated agencies and direct applications from individuals are not accepted in principle. Procedures can differ by consulate-general, so verify with the mission responsible for you.
The consulate is set by district
The responsible mission is normally determined by the jurisdiction covering your household registration or residence, not the nearest city. Residence-document rules can also differ, so check before filing.
Out-of-jurisdiction filings may not be accepted
A mission outside your jurisdiction may direct you to the correct office. If your household registration, residence and study location differ, do not rely on an old province list; check the mission's latest guidance.

Order of operations: pre-entry visa, then residence proceduresverify

1 · early, before travel
The accepting school or employer normally applies to Immigration in Japan for the Certificate of Eligibility (COE). You prepare documents according to the school, employer and Immigration guidance.

2 · determine the district
Identify the mission responsible for your household registration or residence. Do not infer it from the nearest city; confirm both jurisdiction and proof-of-residence rules on the mission's site.

3 · file via agent
Follow the mission's current rules and file through a designated application agent. Agent lists change, so use only the list published by the mission.

4 · consular review
Consular review may request more documents or an interview. Processing time varies by mission and case, so leave room for follow-up rather than planning from unofficial anecdotes.

5 · issuance & pickup
After review, collect the passport as instructed by the agent or mission and check your name, residence status and validity period.

6 · enter Japan
The visa supports your application for landing permission. Before departure, check your passport, visa, COE and any documents your school asks you to carry.

7 · then use Immigration
After entry, extensions or changes of residence status normally go through Japan's Immigration Services Agency. They do not follow the visa-jurisdiction process used in China.

Common mistakes

Choosing by the nearest city; jurisdiction, not distance, normally controls.
Treating a private education agency as a designated visa agent; they are not automatically the same.
Using an old jurisdiction table and filing with the wrong mission; you may be redirected.
Starting just before enrollment and leaving no time for extra documents or an interview.

SECTION 02

Enrollment, qualification and degree verification through CHSI

CHSI now provides online verification reports for enrollment, higher-education qualifications and degrees, with corresponding English-translation services. Each Japanese school decides which report, language and delivery method it accepts. CSCSE overseas-credential evaluation is a separate post-study process covered below.

SECTION 03

Document notarization, Apostille and consular legalization

First ask the school or other recipient whether it requires notarization, authentication and translation. Do not add steps that were not requested. If authentication is required for a diploma, degree or transcript, the document is generally notarized first and then follows the Apostille or consular-legalization route based on the destination country's Convention status.

SECTION 04

Mainland JLPT registration and Japan's 2026 residence rules

Mainland-China registration runs through NEEA; tests in Japan are administered by JEES. They are separate systems. JEES set residence-status conditions for the 2026 tests in Japan, so a short visit to Japan should not be treated as a default way to sit the test.

NEEA publishes mainland-China test cities, levels, registration periods and capacity. This page does not store a city or date list that can go stale.

Use only the official registration platform. Do not buy transferred places or treat a third-party reminder as proof of registration.

For the 2026 tests in Japan, JEES says candidates are in principle mid-to-long-term residents or special permanent residents. Applicants must enter a Residence Card or equivalent number and expiry date; short-term visitors without a Residence Card cannot apply. Recheck for later years.

SECTION 05

China credential evaluation and recruiting timelines

CSCSE evaluation and recruiting schedules are separate processes. The applicant voluntarily applies for CSCSE evaluation online; an employer, school or exam body decides whether it is required. Recruiting dates vary by employer and year.

Overseas-credential evaluation through CSCSE

When an employer, school or exam body requires it, the holder can apply through CSCSE's online portal. The service assesses the legitimacy and authenticity of overseas higher-education credentials and their correspondence to Chinese qualifications and degrees.

Check the actual recipient's document list; evaluation is not universally mandatory.
Register, enter information, upload documents and follow CSCSE's current online process yourself.
Processing times and additional-document requests can change, so leave a buffer before the result is needed.

Plan China and Japan recruiting in parallel

Mainland-China graduate recruiting and Japan's job market do not share one calendar. Dates vary by company, industry and year. If you are considering both, track official deadlines separately rather than relying on one generic month-by-month schedule.

Use each target employer's careers site and current recruiting notice for mainland-China deadlines.
Check Japanese employers and selection tracks separately; do not substitute mainland-China dates.
Keep two deadline and document lists, then set priorities when they overlap.
